Custom Placeholder Tags

Create custom placeholder tags and map them to custom fields, then use them in email responses and Docusign templates.

Custom placeholder tags let you automatically add information from a submission—like a name or a topic—into your messages, response templates, or Docusign documents.

Create a Custom Placeholder Tag

Before you proceed: Please note that you cannot delete custom placeholder tags! They can only be deactivated.

To create a new custom placeholder tag, first navigate to More>Configurations>Custom Tags.

Then click + Add New Custom Tag:

1. Enter a custom placeholder Tag Name. This name won't be visible to email recipients or Docusign templates. Custom placeholder tag names can use letters, numbers, and spaces. Tag names cannot be edited after they are created.

2. Choose the Form where the tag will get the information to populate in messages, response templates, or Docusign documents. Custom tags can only be created from:

  • Initial forms

  • Eligibility forms

  • Internal forms

3. Select the form's name.

4. Select the form field to map to the custom placeholder tag:

Notes on mapping:

  • Custom tags can only be mapped to fields on the same form type. For example, you cannot map a field on an internal form to a custom placeholder tag that is mapped to a field on an initial form.

  • Custom tags can be mapped to form fields across multiple forms of the same form type. You may select only one field per form. A field can be mapped to multiple custom tags.

  • Mapping to a multiple response field will display all of the selected options.

If the tag should be mapped to fields on multiple forms, click Select Form again and choose another form name and form field. Repeat these steps until your custom tag is finished:

Check your work! Once you create and map the tag, you cannot delete it; you can only deactivate it.

When you're ready, click Create and Map. You now have a custom placeholder tag to use in messages, response templates, and Docusign templates.

To see which forms a custom placeholder tag is mapped to, expand the Mapped fields below the tag's name:

Sync Custom Placeholder Tags with Docusign

Note: Submittable’s standard placeholder tags automatically sync with Docusign when the user authenticates with Docusign.

Navigate to More>Configurations>Custom Tags.

  • Select the custom placeholder tags that will be used in Docusign.

  • Click Start Sync and wait for the success notification.

Custom placeholder tags that have been synced will be available in Docusign in the Custom Fields section and will display the date the field was last synced within Submittable:

Submittable placeholder tags will be visible under Custom Fields in Docusign:

Please note: Deactivated tags cannot be synced.

Configure Response Templates using Custom Placeholder Tags

Navigate to More>Configurations>Response Templates.

1. Click Create a response template or Edit next to an existing template.

2. In the template subject line or within the template body, place your cursor in the position where you would like to insert a placeholder tag. Click the tag icon:

3. Search for the relevant tag and select it to insert it into the response template:

Now you're ready to use it in a message to your applicants:

More Information

  • Creating custom placeholder tags is limited to team members with permission levels 4 and 5.

  • Custom placeholder tags are limited to fields on these form types:

    • Initial

    • Eligibility

    • Internal

  • Custom placeholder tags are NOT available for these field types:

    • File upload

    • Table

    • Smart Import

    • Fraud Prevention

    • SSN/TIN

    • Reference form

    • Text Only

    • Charity Check

    • Divider

  • Docusign users must have a Business Pro account to use custom placeholder tags.

  • Tag names cannot be edited once they are created.

  • Custom placeholder tags cannot be deleted; they can only be deactivated.
