Auto Labels let you identify submissions based on criteria you choose. Found in the field options area of certain fields, you can apply an auto label based on the submitter's reply (field value), or you can specify the text that will be visible (custom). Like labels, these are not visible to submitters and can be concealed from certain team members.

Auto Labels are available for all forms except Eligibility Forms.

Auto Labels can be used in the following field types:

  • Dropdown List

  • Single Checkmark

  • Single Response

  • Multiple Response

  • Single Rating

  • Multiple Rating

  • Dropdown Rating

Create an Auto Label

In one of the fields listed above, select Auto Label in the options at the bottom of the field.

Use the Field Value

Select Use field value as label:

The label applied will show the same text as the question response. For example, in this Multiple Response field, the area selected by the submitter will appear as a label on their submission: East, West, or South:

Create a Custom Label:

Select Use custom label:

An entry box will appear to the right of your response options. Add your desired label over the "Add Label" prompt, as shown below. In this example, the East response will apply the label Team E:

Concealment with Auto Labels

Concealing auto labels must be done on the Labels page. To make auto labels appear on the Labels page, they must first be used.

  1. Create a test submission that uses the auto label.

  2. Go to More>Configurations>Labels and search for the auto label.

  3. Click Edit on the right side of the label's title.

  4. Scroll to Concealed and enable the feature.

  5. Click Save Label.

Now go to the project where the label will be used and open it.

  1. Under the Notifications tab, enable Conceal Project Data to either Concealment or Lifecycle Concealment.

  2. Scroll to Hide Concealed Labels and enable it.

  3. Save the project.

Your auto label will be concealed from unauthorized team members (per the project's settings). To unconceal the labels, go back and undo the settings above. The project's concealment settings are separate from labels and won't affect them.

Good to Know

  • Auto labels will not appear on the Labels page (under Configurations) until they have been used in a submission.

  • Changes made to auto labels after submissions have been received do not have a retroactive effect on labels that were previously applied.

  • When a form field with an auto label is edited by a submitter, the existing auto label will not automatically update. The auto labels for these submissions must be manually updated.

  • If you are using Request Forms with auto labels and Label Criteria, make sure the criteria and the auto label match. Use the "Use Custom Label" option, and ensure it matches the criteria set in the Request Form.
