Administrators can manage and transfer submission ownership, alleviating time-consuming processes and ensuring the correct stakeholders are involved at crucial stages of a submission's lifecycle.
Transferring a Submission
Administrators with permission levels 4 or 5 can transfer ownership of a submission. All associated forms, notes, messages, awards, and payments will also be transferred.
This can be done from the submission list view or the submission details.
From the Submission List View, select the submission to be transferred
Click Other>Transfer Submission Ownership
Enter the name and email address of the new submission owner:
Review and confirm the transfer agreement, then click βConfirm and transferβ:
Email notifications will be sent to the original owner and the new owner. If the new owner is new to Submittable, an account will be created for them. They'll need to request a password reset to create a password and access their new account.
The original owner will maintain ownership until the new owner logs in, accepts the terms, and completes the transfer.
From the Submission Details, click More>Transfer Submission Ownership and complete the steps above.
Cancel a Transfer
To cancel a transfer before completion, click Other on the submission list view, and More on the submission details page, then Cancel Ownership Transfer.
Email Notifications
When the transfer is initiated, notifications are sent via email to the original owner and the new owner. Other actions, such as Canceling, Accepting, and Declining, do not generate notifications.
Tracking Tools
When a level 4 or 5 administrator initiates a transfer or cancels, declines, or accepts it, the action is recorded in the Activity Log (More>Activity):

Personal Identifiable Information (PII)
Submittable will permanently conceal these PII fields:
Bank Details
Fraud Prevention
Social Security Number/ITIN
Smart Import
New owners cannot see or edit permanently concealed fields. Please note: Custom fields that contain PII are not concealed.
Regardless of ownership, administrators will always be able to see the information in PII fields.
