Projects hold all the important information you need for your opportunities. For example:
General Settings - all the general settings that affect your opportunity
Forms - the forms that are pulled into the project
Awards & Payments - financial settings
Notifications - settings for notifications and concealment of data
Review Workflow - settings for your review stages
Gallery - visual arrays of your submissions
Below are descriptions of each tab in your project:
General Settings
This area holds the settings that affect your project. Click the titles for more information on each setting.
Name: The name of this project. This name will appear on your public-facing page.
Guidelines: These guidelines will accompany your initial form and be viewable on your public-facing page. Enter any general guidelines that you need applicants to know before submitting, such as what type of content you are looking for or who is eligible to apply. You can use rich text formatting here by selecting the icon from the top menu. You can also include photos or videos.
Organization Search: When enabled, applicants can search for and select their public organization by its unique identifying number or organization name.
Terms of Use: When enabled, this setting adds a checkbox to your initial form that asks submitters to agree to the conditions you enter here.
Submission Cap: Put a cap on the number of submissions you want to receive in this project.
Starts On: Select a date to begin accepting submissions. If you do not select a start date, your project will automatically go live once completed. Choose a date that occurs before the Expires On date. If you are editing an existing project, edit the Expires On date first.
Expires On: Select a date that your opportunity will close to submissions. If you leave this blank, your project will remain available indefinitely.
Hidden: Hides the project from the public-facing page. Submitters can only see your opportunity if you provide them with a direct link.
Limit Multiple Submissions: Limits each submitter to a single submission for this project.
Join Discover: This setting allows you to add searchable tags to your project, which will be viewable by the public on our Discover feature.
Enable Collaboration: Check here to allow submitters to collaborate while working on their initial forms for this project.
Live: The Live checkbox makes your project live. Even when checked, the project will not go live if the "Starts On" date is in the future. If you need to take your project down for any reason, uncheck this box to override all other settings and make the form unavailable on the public-facing page.
Archive: Archiving the project is a step you can take when your opportunity is complete, and you are ready to remove it from your public-facing page. This option does NOT archive submissions. It’s important to review all submissions, assign a terminal status (accepted, declined, withdrawn, or complete), and archive all submissions before archiving your project.
Forms
The Forms tab lets you configure all the forms your project needs to launch. Click the titles for more information on each form.
Initial Form: This will be the form submitters use when submitting to this project.
Eligibility Form: This form ensures only eligible submitters can proceed to start a submission.
Request Form: This form allows submitters to submit new or recurring requests based on the criteria set here.
Internal Form: This form allows you to add data to submissions for internal use. This information is not visible to submitters.
Awards & Payments
This tab contains settings for accounts using the Funds Tracking or Funds Management features.
Award and Payment Visibility: By selecting this option, recipients will have visibility into award and payment activity. Transaction details include the date, status, amount, and any recipient memos added by your organization.
Restrict to Specific Fund(s): By selecting this option, you can specify the funds to be used for creating awards and payments for this project. Unselected funds will not appear when creating an award or payment.
Notifications
This tab contains settings for concealing data from team members and for other notifications.
Conceal Project Data: Selecting this option enforces data concealment for the project. Responses to questions marked "Conceal Response" and all identifying submitter information will be hidden by default.
Exclude Concealed Questions: By default, questions marked "Conceal Response" will be shown to reviewers at or below the Concealed Threshold, and answers will be replaced with the text [Concealed]. Check this box to instead exclude these questions and answers completely.
Default Note Visibility: Choose the default visibility level for notes entered in the Submission Details page. Assigned Team: Note is visible to all team members with access to the submission (default). Admins Only: Note is visible only to the team member who created it and to Level 4 and 5 team members.
Organization Email Notification: An email will be sent to the primary organization email address for every submission received. You can update your organization's email on the Public Profile page.
Choose an auto-response: Select the Response Template that will be sent to submitters in this project. If you do not select one of your organization's templates, a generic response will be sent acknowledging receipt of the user's submission.
Success URL: After submitting, the submitter will be redirected to this URL. If left blank, the submitter will see a success page with a link to your organization‘s main website.
Review Workflow
Review Workflow lets you create review stages and automatically assign reviewers, as desired.
Accounts with Multiple Stage Review can create and arrange stages for robust review requirements.
The ability for reviewers to edit their own reviews can be enabled here as well.
Gallery
The Gallery feature enables organizations to display submissions online in an array for public or private viewing. Gallery is a powerful tool for organizations that want to share submissions with the public, host contests that can be voted on, or display an internal gallery of submissions for your organization only.
The Gallery feature is customizable and used to display videos, animated GIFs, images, and other media.
